We are recruiting for an experienced Project Administrator to join a thriving organisation which prides itself on a providing a 5-star service, which is reflected in their glowing customer reviews. This role is pivotal to the business as you will provide administrative support to the Sales team.
As a Customer Project Administrator you will closely manage projects from start to finish, to ensure customers receive a best-in-class service. You will be responsible for working closely with customers updating them throughout the project stages, engaging with external stakeholders, invoicing and accurately completing administrative tasks.
This role will initially be full time office based in Sutton Coldfield whilst you are training during probation period. Once you have completed your probation period, you will benefit from hybrid working. The core business working hours are 9am until 5.30pm but there could be flexibility on the working hours for the right candidate.
The successful candidate will have a demonstrable work experience in a similar Administration role such as Senior Administrator, Customer Service Administrator, Project Administrator or Finance Administrator. With high levels of attention to detail and a customer focused nature.
Duties:
As a Customer Service Project Administrator you will work closely with customers updating them throughout the project stages to ensure a seamless service
Once the Sales team agrees a contract you will be responsible for contacting the customer to begin the process and confirming the project booking
Liaise with customers to collate relevant paperwork such as customs forms, passport and VISA applications
Create sales invoices in Xero then ensure payments are received at various stages of the project through to completion
Liaise closely with external stakeholders to ensure smooth delivery of the project and working to set deadlines
Update accurately internal CRM system Zoho regularly with updates
Refer customers to third parties for specialist services as required
After project completion engage with customers to gather feedback
Adhoc such with marketing administration such as creating social media content
General administration tasks as required by the business
Skills and experience required:
Proven work history within a similar Senior Administrator, Customer Service Administrator, Project Administrator or Finance Administrator role essential
Experience in using Zoho or Xero desirable
Excellent time management and organisational skills
Excellent communication skills
High levels of attention to detail and numerate
Process driven with the ability to multitask and prioritise
Ability to work collaboratively as part of a small team
