My client are a professional services company in Exeter seeking an enthusiastic front of house receptionist to join their team. The role will be working on the front desk predominantly re-directing calls via the switchboard and supporting the team with their administration. There is huge potential for someone to grow and develop in the role and the company as the client would like the successful candidate to move across to another administration role in the business in-time. The role would therefore suit someone looking to progress their career in an administration capacity.
The client offers a bright spacious office in a beautiful setting in Exeter with free on-site parking.
Office hours are Monday to Thursday 8.30am to 5pm and Friday 8.30am to 4.30pm.
Main function of job
To provide a consistently excellent reception service for the Company including operating the switchboard, welcoming and directing visitors and acting as a central information point. Opening incoming post and allocating to the relevant administrators. Perform reception duties in and efficient, professional and courteous manner.
Main duties
As the first point of contact for all visitors, it is important to maintain a professional appearance at all times.
To receive and prioritise incoming telephone calls and deal with them appropriately including recording and distributing messages as required and maintain a rapid response rate according to agreed standards.
To welcome visitors in a professional and hospitable manner, ensuring signing in procedures are followed and to provide refreshments as required.
Operate a variety of standard office machines, including a variety of computer software packages, phone and photocopier.
Open/distribute the incoming mail.
Management of meeting rooms and the visitor park space.
To provide administrative and secretarial support if needed
Ensure that cover is maintained on reception throughout working hours and ensure the telephone is covered throughout the working day.
To ensure appropriate standards of tidiness and order in the reception area.
Establish and maintain effective working relationships with co-workers, supervisors and the general public.
Provide excellent customer service as the face of the Company and first point of contact.
