Position: Operations/Projects Assistant

Reporting to: Technical Manager
We are seeking a dynamic and organized individual to join our team as an Operations/Projects Assistant at our London office. This role will play a pivotal part in supporting our technical operations and project management activities.
Responsibilities:
Create new projects, quotes, invoices, and purchase orders in our CRM system.
Prepare and send out quotations to clients and follow up accordingly.
Issue and chase sales invoices.
Communicate with manning agents to ensure required manpower is available.
Arrange international and domestic travel, hotels, visas, and issue necessary documentation.
Coordinate with port agents for personnel and goods transfer to/from vessels/rigs.
Liaise with suppliers for equipment, tools, and consumables procurement, including issuing purchase orders and organizing shipping.
Maintain oversight of multiple overseas engineering and consultancy projects simultaneously.
Ensure project records are filed in compliance with ISO standards.
Monitor costs and prepare monthly profit/loss reports.
Verify personnel certificates and training records.
Manage office and stationary supplies.
Track petty cash expenses and personnel expenses.
Complete various questionnaires as needed.

Preferred Qualifications and Experience (Upon Starting):
Degree in management or related field.
Prior experience in administrative/operations roles, preferably in offshore, marine, oil & gas, construction, or similar industries.
