We're on the hunt for an exceptional Operations / Office Manager to join our dynamic team in the heart of Central London. As the backbone of our agency, you'll play a pivotal role in ensuring seamless day-to-day operations and fostering an inspiring work environment.
Responsibilities:
Managing the day-to-day office management tasks including building services, contract management and facilities
Efficiently manage the Operations and FOH team ensuring the office is run smoothly
Overseeing administrative functions including reception, stock and supplies management, mail handling, scheduling and liaising with the senior management team
Supporting with internal communication and servicing as a liaison for the SMT and wider team
Overseeing the implementation of a new systems and optimising office layout for better functionality.
Coordinating office events and meetings, both internal and external.
Handling vendor relationships and negotiating contracts for office services.
Implementing and maintaining office policies and procedures.
Supporting HR functions, including onboarding new employees and managing records.
Assisting with budget management and expense tracking.
Ensuring compliance with health and safety regulations.
Serving as a point of contact for staff enquiries and operational issues.
Addressing IT problems and liaising with external IT services to improve efficiency.
Creating a positive office culture through thoughtful initiatives and events.
Renewing contracts with a focus on cost reduction and efficiency.
Fully analyse operational systems and roll out enhancements as required
Requirements:
5-7 years in office management, facilities or business operations
Experience working in an agency environment – Marketing, PR, Media, Creative etc.
Experience overseeing a team
A passionate self-starter, with a driven and proactive approach.
Warmth and ability to foster positive relationships with high emotional intelligence
A critical thinker, able to navigate multiple projects and make sound budgetary decisions
Well-suited and able to thrive in a fast-paced environment.
Resilient and adaptable, able to navigate a diverse operational role.
Demonstrates integrity and discretion
A tactful and emotionally intelligent communicator
Stability: demonstrates long-term commitment in previous roles
Experience in luxury markets preferred.
Highly organised with excellent project management skills Strong technology skills with Outlook, Excel, PowerPoint, and the ability to learn new software easily.
