Han Kun LLP, an English legal entity seeking SRA authorisation to practise English law, is planning to recruit an office manager. Han Kun LLP is to provide legal services to mainly Chinese clients or for cases/transactions involving Chinese elements, whilst closely collaborating with both international/English and Chinese law firms. Purpose:
To ensure the smooth and efficient set-up and running of a law practice by providing a range of administrative and operational support
Requirement:
Language: fluent in oral and written English, excellent command in Chinese/Mandarin is a plus
Degree: minimum bachelor’s degree (min 2:2) majoring in business, business management and/or marketing/digital marking
Working experience: 2+ years working experience in a role assuming certain duties the same as or similar to those as listed below
Information and communication technology (ICT) skills
High level of Microsoft Office skills includingin particular Word, Excel, Outlook and Teams
Excellent planning and project management skills
Excellent written and verbal communication skills
Desirable Requirements:
Qualifications: diplomas or certificates evidencing your skills required for assuming certain duties for this job as described below in respect of e.g. office management, operation, marketing and/or HR
Ability to plan and implement a variety of events from seminars to conferences, running various projects simultaneously
Familiar with the local legal landscape and cultural nuances is required
Similar experience in law firms or legal consultancy entities
Handle with matters as described below with English and/or Chinese/Mandarin language skills, ensuring efficient and smooth communication and collaboration with local regulatory authorities and within Han Kun LLP, as well as with the international/English and Chinese law firms with which it collaborates.
Administration
Provide administrative support to ensure efficient operation of the office
Assist with special projects and office events
Act as a liaison with general and administration departments (e.g., Finance, IT, Human Resources, Records)
Assist in the communication with SRA and other local regulatory authorities to ensure the satisfaction of local compliance requirements and successful office management,previous work experience in law firms is preferred
Work closely with the staff and attorneys in planning and execution of office-related initiatives and events involving
Assist in the application and maintenance of requisite licenses / certificates required for the practice of the Entity and its professionals
Perform other duties as assigned
Office:
Use a range of office software; spreadsheets; elements of legal case management database to improve operational systems, standards and policies
Ensure all IT and office resources are adequate, efficient and promptly maintained alongside the practice manager and the Entity’s external IT supplier
Liaises with building managing agents/ freeholders concerning the Entity’s premises, as required
Marketing:
Assist on the firm’s marketing activities
Assist on creating and delivering client events such as conferences, hospitality events, webinars and seminars

Schedule:
Unless stated office hours are 09:00am-5:00pm Monday and Friday but it is essential to be flexible and prepared to work beyond the normal office hours when workflow demands
Work Location:
Mainly working from home before the physical office of the Entity is available
Once the physical office of the Entity is available, need to work from the office in London unless exceptionally approved
flexible with travelling (if and when needed at any time)

We will need to complete a pre-employment screening which includes a Criminal History Background and other employee checks
Reference check is required on demand
Suitable candidate is expected to be on board (in or around April/May 2024). The probation period will be six months
