Job Description: The Operations Manager will be responsible for all aspects of customer service, order processing, stock preparation, internal transfers, supply chain, and order fulfilment. This is a hands-on role and, in addition to managing a small team, the Operations Manager will be actively involved on a daily basis in completing all tasks and processes.

Responsibilities - Order Management:

Oversee the order processing workflow, from quote/to order receipt/to order fulfilment, to ensure accuracy and efficiency.

Collaborate with sales and customer service teams to prioritize orders, resolve order discrepancies, and meet customer delivery expectations.

Implement and maintain order management systems and procedures to streamline processes and improve order accuracy.

Monitor order fulfilment metrics, analyse performance data, and implement continuous improvement initiatives.

Handle customer enquiries, by email and telephone, on a wide range of topics, including: providing quotations, placing customer orders, advising on delivery dates, etc.

Logistics:

Manage transportation logistics, including freight forwarding, customs clearance, and transportation scheduling.

Coordinate with shipping carriers and logistics partners to optimize shipping routes, reduce transit times, and minimize shipping costs.

Ensure compliance with regulatory requirements and quality standards for product transportation and handling.

Resolve logistics-related issues, such as delays, damages, or lost shipments, and implement corrective actions.

Pick/Pack/Ship finished goods for domestic and international shipments.

Supply Chain:

Develop and implement effective supply chain strategies to optimize inventory levels, minimize costs, and ensure timely delivery of products.

Monitor inventory levels, track shipment schedules, and manage stock replenishment to meet customer demand.

Identify and resolve supply chain issues to minimize disruptions and maintain smooth operations.

Receiving stock from our supply chain partners and processing these units ready for storage and/or customer orders.

Team Leadership:

Lead and mentor a team of customer service/logistics coordinators, providing guidance, training, and support.

Foster a collaborative and results-driven work environment, encouraging teamwork, accountability, and continuous improvement.

Set performance goals, evaluate team performance, and implement strategies to drive productivity and efficiency.

This is not a definitive list of responsibilities and it is expected that the role will be varied. Other ad-hoc tasks such as opening up/locking up, ordering office supplies, unloading deliveries, etc. will also be required.

Qualifications:

Bachelor’s degree in life science field (higher degrees preferred).

Proven experience in logistics management, supply chain management, or operations management, preferably in the life science or biotechnology industry.

Strong knowledge of logistics principles, transportation regulations, and supply chain best practices.

Experience with order management systems, inventory management software, and logistics management tools.

Excellent analytical, problem-solving, and decision-making skills.

Strong leadership and team management abilities, with the ability to motivate and inspire a team.

Excellent communication, negotiation, and interpersonal skills.

Detail-oriented, organized, and able to manage multiple priorities in a fast-paced environment.

Strong work ethic and high level of independence.
